Terms of Service

These terms are the agreement between SERVICEROUTE (PTY) LTD (registration number 2026/697824/07, "ServiceRoute") and the business using it. They are written to be read, not to be impressive. If something here is unclear, ask before you agree to it.

These terms cover the business that signs up. If you are a customer of a business that uses ServiceRoute — you received a quote link, or messaged them on WhatsApp — you have no agreement with us, and the privacy policy explains what happens to your information.

1. What ServiceRoute is

Job management software for small trades businesses: scheduling work, sending quotes, raising invoices, and showing jobs on a map. It is a tool your business uses to run itself. It does not do the work, does not decide what to charge, and never contacts a customer unless a person at your business chose to send that exact message.

Free trial30 days from signing up, with no card required. Everything works during the trial.
After thatA monthly subscription, priced per business plus per person using it. The current price is shown in the app before you are charged anything.
PaymentTaken monthly through PayFast. Card details go to them, never to us.
CancellingAny time, from within the app. You keep access until the end of the period you have paid for.
Not payingIf a payment fails we will tell you. If it stays unpaid, access is suspended — your data is not deleted, and paying restores it.

Prices can change. If they do, you get at least one month's notice, and you can cancel before the new price applies.

4. Your data is yours

Everything you put into ServiceRoute — your customers, jobs, quotes, invoices — belongs to your business. We hold it so the software can work, and for no other purpose. We do not sell it, we do not use it for advertising, and we do not use one business's data to benefit another.

Under POPIA you are the responsible party for your customers' information and we are the operator. In practice that means: you decide what to record about your customers and why, and we process it on your instruction. If one of your customers asks you to delete their information, you can, and we will help if you need us to.

You can ask for your data at any time, and ask us to delete your account. We will do so, except where the law requires a record be kept — tax law in particular requires invoices to be retained.

5. The AI features

ServiceRoute suggests. You decide. Where AI reads a customer's message and fills in a job for you, that draft is a suggestion sitting in a form. Nothing is saved until somebody at your business reads it and presses Save.

The software will never, on its own, create a job, set a price, book a time, assign a person, or send anything to a customer. Those decisions are yours, and the software is built so that it structurally cannot make them.

Replying on WhatsApp works the same way. You can answer an enquiry from inside ServiceRoute, and it can suggest a question to ask when something is missing — an address, a phone number. That suggested question is put together by ordinary rules from the empty boxes on the form, not by an AI, and it goes nowhere until you read it and press Send. Every message sent is recorded with who sent it. ServiceRoute never replies to a customer by itself.

Which means the accuracy of what you save is your responsibility. An AI can misread a message. That is why it shows you what it found and where it found it, and why nothing reaches a customer without a person looking at it first. Check drafts before you save them, exactly as you would check something a new employee typed up.

Using WhatsApp intake means your customers' messages are sent to an AI provider outside South Africa when somebody opens an enquiry. That is explained in full in the privacy policy, and connecting WhatsApp is entirely optional — everything else works without it.

6. What you may not do

7. Availability, honestly

ServiceRoute is a small product, run by a small team. We do not promise a percentage of uptime, and we would rather say that plainly than print a number we cannot stand behind.

We aim to keep it running and to fix things quickly. It depends on services we do not control — hosting, the database, WhatsApp, email — and any of them can have a bad day. Your data is backed up, and the important things (your invoices and quotes) can be printed or saved as PDFs, so a bad day for us is not a bad day for your paperwork.

8. If something goes wrong

We are responsible for doing what these terms say, and we take that seriously. But ServiceRoute is a tool that helps you run your business, not a guarantee of how your business performs. We are not liable for work you did not win, a job somebody forgot to look at, or a decision made from information that was typed in wrongly.

Where we are liable, that liability is limited to what you have paid us in the twelve months before the problem. Nothing here limits liability that the law does not allow to be limited.

10. Changes to these terms

If these terms change in a way that affects you, we will tell you before it takes effect, and the date at the top changes. Carrying on using ServiceRoute after that means you accept the new version.

South African law, and the South African courts.
